What happened?


Please check that your email footer does not contain a link to a website that is pointing to another one instead.

For example, (refer to the following snapshot) my email footer containing the website address of www.hamiltonisland.com.au that basically links to Hamilton Island corporate website.

In some instances, by using copy+paste to create a new footer, you may simply "overwrite" the text of www.hamiltonisland.com.au to a new website address, say www.qualia.com.au but the embedded link is referring to the original setting of www.hamiltonisland.com.au. So if you send an email with the new footer, the mail protection services on the receiving end will automatically detect the anomalies and classify your email as Spam or Junk and when this happens, the recipient will not be seeing your email arriving in his/her InBox.




How to make sure that the embedded website address matches the text?


Compose a New email with footer in it. Move your mouse over the link as shown in the screenshot below.

Press and hold the CTRL key and click on the link. The web browser will be launched and the website will be loaded.

Once the web browser loaded the website, check to make sure that the website in the text matches what has been loaded.




How to fix the issue?

  1. Launch Microsoft Outlook.
  2. Click on File


  3. Click on Options


  4. Click on Mail followed by Signatures in Outlook Options window


  5. Select the Signature to Edit and once it is loaded, remove the website address COMPLETELY and re-typing the website address again.
    You do not need to set it as a LINK as this will be automatically taken care of by the mail client

    Click on the Save button once you have made the changes.
