3. Purpose
The luggage tags or bag tags are produced at the Hamilton Island airport to tag guest bags with their details to ensure the bags are delivered to the right rooms/locations.

6. Expected Outcome
After completing this task:
The luggage tag template should be created/edited/updated successfully in Agilysys Versa.
How success is confirmed:
- The luggage tags should be able to print successfully on the specific luggage tag printer located on Hamilton Island.
- The luggage tags should contain the full name, room number, arrival and departure details of the guest.

- No downtime, however updated luggage tags might not be able to be printed until saved to production.
Common mistakes to avoid:
- Ensure printer driver and settings match the specific luggage tag printer located on Hamilton Island.
General Notes:
- The luggage tags are printed on specific labels on a specific label printer.
- The luggage tags are printed, then folded in half around the handle of the luggage. The ends of the sticker is peeled off and stuck together.
- The Holiday Homes Logo is currently hosted on MS360 (Cloudberry) and the URL is in the HTML Code snippets.

11. Step-by-Step Procedure
Step 1: Create Luggage Tag (Bag Tag)
Description: Creates a luggage tag in Agilysys Versa to enable luggage tags to be printed on Hamilton Island.

Go to: Settings -> Utilities -> Distribution List -> Templates -> Tag Templates
OR
Click on the search button and type in Tag and select Templates -> Tag Templates
To create a new tag template – click on Create Tag Template
- Enter in the Tag Code:
- Enter in the Tag Name:
- Enter the List Order:
- Select if it’s Active
- Select if it’s to be used as the Default Tag Template.
- In the body of the tag template, enter the details you want to show up on the tag.
- You can do this by selecting from the Tags on the right side bar or by entering in your own copy/content. There is a rich text editor which allows you to do some basic formatting but keep in mind the printer may not support all formatting.
- To add a tag, place the cursor where you want the Tag and click on the tag name – the field code will appear in the body of the template. The Tags pull directly from the reservation in Agilysys Versa.
Note: You can preview the template whilst you are in creation mode BUT the preview is not always reflective of what actually prints out.
When you’re happy with your luggage tag, click on Create to save it as a template.
Step 2: Edit/Update Luggage Tag (Bag Tag)
- Go to: Settings -> Utilities -> Distribution List -> Templates -> Tag Templates

- Click on the search button and type in Tag and select Templates -> Tag Templates
- To edit an existing tag template, under the Actions heading, click on the edit (pad & pencil) icon
Note: You can preview the template whilst you are in editing mode BUT the preview is not always reflective of what actually prints out.
To save the changes to the template, click on Update.
Step 3: HiHH Luggage Tag – CODE
The luggage tag for Holiday Homes is currently designed using HTML code (see Appendix A). The template has the ability to enter HTML Snippets.
You will see when editing the template that there are two HTML Snippets – these are exactly the same code but we’ve duplicated it to ensure it prints twice for each folded side.
To edit the HTML Snippet
Edit the template and then click on the pencil icon next to the snippet you want to edit.
It may be worth copying the HTML code and working in a HTML editor rather than trying to edit within the snippet box, as it’s quite small.
When you’re happy with the code, click on the green tick and then click on Update to save the template.
Step 4: Verification/Printing
To validate your changes, test it by printing out a label. There is a label printer located on the island and also in IT in the Corporate Office. See example (Appendix B).
To print out:
- Login to Versa, click on the Reservations tab.
Find a reservation that has:
- a Confirmation number
- has a status of Reservation
- a room number allocated
- preferably 2 guests
- View the reservation. On the right side menu, scroll down to Print Cards & Tags.
- On the pop up, de-select Registration Cards as we only want to test the luggage tag.
- Choose the luggage tag template you just created or updated eg HH001 and the number of tags you want to print.
- This will pop up with a print view page – ensure you select the label printer so that it shows correctly and then print so that you can see if it’s printing correctly.
